There are two different methods for employees entering time. e-ticket times are the way for employees to enter their job times in the system. These times are entered directly into the e-ticket when it is created. Please follow the below steps for instructions on how to enter employee Job Time.
Configuring Pay Groups
Before Job Times can be entered, an employee must have Pay Groups configured. A Pay Group must then be assigned to a employee's profile.
Pay Groups are a way to categorize how an employee should be paid. Weekly or Bi-Weekly are the two types available.
To configure Pay Groups, follow the below steps
- Navigate to the Portal Site(visdcloud.com/"companyname"
- Go to Timesheets -> Pay Groups
- This page displays all of the available Pay Groups that have been created
- . To create a new one, click "New" at the bottom of the page.
- Choose a "Name", and then select a "Type"
- Click "Save"
Assigning an Employee a Pay Group
- Open the Desktop Application
- Navigate to the employee page
- Select an employee to update by double clicking, or clicking edit on the bottom left of the page
- Go to the "Payroll Tab"
- Select a Pay Group for this employee
- Click "Ok"
Entering in Job Times
In order for employees to enter in Job Times, they must be a resource on a Rental, and an e-ticket must be created. Once those requirements are met, please follow the below steps
- Open the Rental by navigating from the link sent to the operator's phone, or by navigating to the Portal Site
- If navigating to the Portal site, go to "My Jobs"
- If navigating to the Portal site, go to "My Jobs"
- If the e-Ticket hasn't been created yet, click on the Blue "e-Ticket" button to create it
- Click on the "Resources" section
- Double-click on the employee resource row
- This will open up a new window where the employee times can be updated and confirmed.
- Complete and Save the times.
Verifying Job Times
The employee's time can now be verified for approval.
- Navigate to Timesheets -> Approve/Post Timesheets
- Select the date for the employees time
- Click the checkbox next to the employee's name, then click the "Show" button at the bottom.
- This will open a new page where the employee's time can be verified and approved.
- Next click on the Pencil Icon next to the employee
- This will bring up a new window where the the employee's time can be edited or marked as "Ready for Approval"
- Once all employees times have been marked for approval, click on the box under the "Thumbs up" Icon.
- The employee row should now be highlighted in Green
- Once all employees have been marked for approval, click on the back button to the Main Page
- If the employee times are ready to post, check the box next to that employee, then click the "Post" button at the bottom of the page.
