When adding new employees to the Visual Dispatch system, there are two primary steps. First, they must be created as an employee in the Employee List. This is where their branch information, email, phone number, titles, etc. will be entered and they will be marked with their appropriate role (ex. Resource, Salesperson, etc.). Once the person is created as an employee, they then will need to be given the appropriate permissions in the User Permissions menu. Specific permissions can be set up based on the branch(es) that the user might have access to.
Adding New or Editing Existing Employees
1. Navigate to the Employee List
2. If editing an existing employee, either double click on their name or highlight their name and select Edit in the bottom right corner.
If adding a new employee, select New and fill in the required fields of Employee Name and Branch
3. If this employee will need access to any part of the system, navigate to the User Login tab of the Add/Edit screen. Enter a username and password for the employee. Press OK to save.
*Note: Best practice convention for usernames is to use first initial + last name (ex. Amelia Earhart = aearhart)
Adding User Permissions
- Either select the blue User Permissions from the User Login tab (see above screenshot), or select Tools > User Permissions
- In the User field, confirm the intended username is displayed or start typing the desired username.
- Select the Add button in the bottom right corner. This will pull in the branch name above.
*Note: If you have multiple branches and this user should have access to more than one branch, click Add multiple times to pull in each branch. This is how you control which branch(es) the user has access to, as well as which permissions they should have per branch. - Select the set of permissions that this user should have with the Preset Permissions dropdown
5. If you are updating the permissions for multiple users, search for the next user in the User field; the permissions you just set will be saved automatically. If you are finished setting user permissions, select OK.
