Price Books in Business Operations
A price book acts as a central repository for pricing information and helps manage the complexity of different pricing scenarios. Key characteristics include:
- Centralized Information: It houses all parts, labor, overhead, and other miscellaneous items a company buys and sells.
- Flexibility: A business can create multiple price books for different customer segments (e.g., retail vs. wholesale), regions (supporting multiple currencies), or promotions.
- Integration with Accounting: When integrated into a business's operational software, it ensures consistency in invoicing and proper accounting for sales and revenue.
- Management: Prices can be updated as needed and the status of a price book (e.g., Draft, Active) can be tracked through its lifecycle.
Price Books in VisD
Visual Dispatch utilizes this business function within the software. Both Equipment and Labor prices can be manipulated with Price Books. Please follow the below steps to create and add Price Books to resources:
Setup
- Click "List" -> "Other List" -> "Rental Form" -> "Price Books"
- This will display the list of all Pricing Books in the system.
- This will display the list of all Pricing Books in the system.
- To create a new one, click "New"
- This will only create the name of the Price Book. Actual pricing will be updated on the Resource configuration pages.

- Create a name for the Price Book that aligns with what this Pricing Book should do i.e: How will this Price Book affect normal pricing in the system.
- Select an Overtime preset if it applies to this Pricing Book
Setup of Price Books to Resources
Now that the Pricing Book names have been created , it is time to update the actual pricing on existing configuration. Please follow the steps below to update pricing.
- Open the "Configuration" page.
- Select a Configuration setup to edit and open it
- Navigate to the "Rates" Tab
- If there isn't a Rate already defined, go ahead and create one
- Navigate to the bottom of this page and select the desired Price Book
- There should be a new line created that is highlighted in Yellow
- Here is where the Price Book Rate should be entered.
- Only the regular rate is required to be filled out.
- Ensure that you are updating this configuration for the proper Branch
- Once complete, click "Ok"
- Please note that updating Labor Rates works the same way. Labor Rates can be found in "List" -> Other List -> Employee Form -> Title
Applying Price Books on Quotes/Rentals
After all the configuration has been updated properly, the system will now be able to apply Price Book pricing to any Rental or Quote. Please follow the below steps to apply Price Books:
Quotes:
- Open the VisD Web Portal
- Click on the "Quotes" Tab, then click "New Quote"
- Ensure that the proper Branch is selected
- On the 4th line, select the desired Price Book.
- Once you have selected a resource and its date/times, please note the change in price for its base configuration to the Price Book pricing entered in earlier.
Rentals
- Create a new Rental, or open an exiting one in the Visual Dispatch Desktop application
- Click on the "Price Book" field dropdown, and select the desired Price Book for this Rental
- Please note the change in price for the configuration from its base pricing to the Price Book pricing
